How It Works:

This workflow automates the complete retail sales, billing, inventory management, and reporting process using n8n, Google Sheets, and Twilio. It operates in the following steps:

1. Inventory Management Setup

  • Staff add new products using an Inventory Management Form.
  • Product details include:
    • Product Name
    • Available Stock
    • Minimum Stock Threshold
    • Product Price
  • The workflow checks for duplicate products before saving.
  • Valid products are stored automatically in Google Sheets inventory records.

2. Sales Entry & Billing

  • Staff enter customer purchase details through a Retail Sale Entry Form.
  • The workflow captures:
    • Customer Name
    • Phone Number
    • Product Name
    • Quantity
    • Payment Method
  • Product stock is validated against inventory records.
  • The system automatically calculates:
    • Total bill amount
    • Remaining stock quantity
    • Sale timestamp

3. Inventory Auto-Update

  • After a successful sale:
    • Inventory stock is automatically reduced.
    • Updated stock values are synced to Google Sheets.

4. Low Stock Alert Automation

  • The workflow continuously checks product stock levels.
  • If stock drops below the configured minimum threshold:

5. Customer Receipt Notifications
